Privacy Policy
Who we are
Block Management (N.I.) Ltd is the data controller for the personal information described in this policy. We are a residential block and property management company based in Northern Ireland.
You can reach us at 1 Kildare Street, Newry, BT34 1DQ, by telephone on 028 3005 4500, or by email at [email protected].
This policy covers the information we collect through this website. If you are a leaseholder, shareholder or director of a development we manage, we will also hold information about you under our management agreement with your management company; ask us and we will explain what we hold.
What we collect
Information you give us
When you use the contact form on this site we collect your name, email address, telephone number and whatever you write in your message. If you email or telephone us instead, we collect whatever you choose to tell us.
Information collected automatically
Our web server records standard technical information each time a page is requested. This includes your IP address, the date and time of the request, the page requested, the referring page where there is one, and your browser and operating system.
Our analytics and advertising tags collect information about how the site is used — pages viewed, approximate location, device type, and whether you arrived from an advertisement. This is described in more detail in our Cookies Policy.
What we do not collect
We do not ask for or collect payment details, financial information or special category data through this website.
How we use it
We use the information described above to:
- reply to your enquiry and, where relevant, prepare a proposal for your development;
- deal with maintenance issues, service charge questions and sales enquiries;
- keep a record of correspondence so that we can pick up where a conversation left off;
- keep the website secure and investigate unusual or unauthorised activity;
- understand how the site is used so we can improve it;
- measure the effectiveness of our advertising.
We do not use your information to make automated decisions about you.
Our lawful basis
Under UK data protection law we must have a lawful basis for using your personal information. We rely on:
- Legitimate interests — to respond to enquiries, run and secure the website, and manage our relationship with the developments we look after. We have considered your rights and do not believe this use is unexpected or intrusive.
- Contract — where we act as managing agent, to perform our obligations under the management agreement.
- Consent — for analytics and advertising cookies. These are not set until you accept them, and you can change your mind at any time using Cookie settings at the foot of any page.
- Legal obligation — where we are required to keep or disclose records.
Who we share it with
We do not sell your personal information, and we do not share it with third parties for their own marketing.
We do share information where it is necessary to run our business:
- Contractors and tradesmen — where a maintenance issue you report needs to be attended to, we pass on what the contractor needs to carry out the work.
- Your management company — where you contact us about a development we manage on its behalf.
- Suppliers who support our business — including our web host, email provider and the analytics and mapping services described in our Cookies Policy.
- Professional advisers and authorities — where we are required to disclose information by law, or need to establish or defend a legal claim.
Some of these suppliers, including Google, may process information outside the UK. Where that happens, the transfer is covered by the safeguards those providers put in place, such as the UK International Data Transfer Addendum.
How long we keep it
We keep personal information only as long as we need it:
- Website enquiries — for as long as it takes to deal with your enquiry, and then for up to two years in case you get back in touch about the same matter.
- Records relating to a development we manage — for the duration of the management agreement and then for as long as we are required to keep them, or as long as a claim could reasonably be brought.
- Web server logs — for a short period, for security and troubleshooting.
When we no longer need information, we delete it or put it beyond use.
Cookies
This site uses cookies and similar technologies, including for analytics and advertising. None of the non-essential ones are set until you accept them, and you can change your mind at any time using Cookie settings at the foot of any page. What they are and which ones we use is set out in our Cookies Policy.
Your rights
Under UK data protection law you have the right to:
- ask what personal information we hold about you and get a copy of it;
- have inaccurate information corrected;
- ask us to delete information where we no longer have a good reason to keep it;
- ask us to restrict how we use your information, or object to us using it;
- ask us to transfer information you gave us to another organisation;
- withdraw consent where we rely on it.
To exercise any of these rights, email [email protected] or write to us at the address above. We will respond within one month. There is normally no charge.
Keeping it secure
We take reasonable steps to protect personal information against loss, misuse and unauthorised access, including limiting access to staff who need it and keeping our systems up to date.
No website or email system is completely secure. If you need to send us something sensitive, please telephone us first and we will agree the safest way to do it.
Links to other sites
This site links to other websites. We are not responsible for how those sites handle your information, and this policy does not apply to them. We would encourage you to read the privacy policy of any site you visit from here.
Changes to this policy
We may update this policy from time to time — for example if we start using a new supplier, or if the law changes. The date at the top of this page shows when it was last revised. Where a change is significant we will make that clear on the site.
Questions and complaints
If you have a question about this policy, or you are unhappy with how we have handled your information, please contact us first at [email protected] so that we have the chance to put it right.
You also have the right to complain to the Information Commissioner's Office, the UK regulator for data protection, at ico.org.uk/make-a-complaint or on 0303 123 1113.
